Disbursement Reconciliation Report
This report provides information to help reconcile the disbursement date and disbursement amount for federal funds across data sources. The report displays data for a selected award year, funds, and payment period(s).
To generate a Disbursement Reconciliation report, complete the following steps:
- Specify which funds and payment periods to include in the report.
- Select the funds associated with the specific award year you want to include:
- Federal Direct Subsidized Loan
- Federal Direct Unsubsidized Loan
- Federal Parent PLUS Loan
- Federal Graduate PLUS Loan
- Federal Pell Grant
- Federal TEACH Grant

Optionally, choose the disbursement date used to determine eligibility of disbursements to be included in the report. The selected date must be on or after the scheduled disbursement date of any included payment periods in the list.

Select all payment periods from the list you want included in the report.
Tip: Fund and payment period lists associated with the specific award year selected will populate. Prior to selecting an award year, both lists will say there are no options available.
- Specify the data types and sources to include and compare in the report.
- Select the data types you want to include:
- Disbursement Gross Amount
- Disbursement Net Amount
- Disbursement Date
- Select the data types to compare:
- Disbursement Authorization Export
- COD Export
- Business Office Import
- SAS Import
Tip: At least two data types must be selected to compare the data.
- Choose whether you want the Exclude Reconciled Disbursements set to Yes or No. If you select Yes, you will only see transactions that have discrepancies; however, if you select no, you will see transactions that have already been reconciled along with transactions that have discrepancies.
- Generate the report.
- Optionally, select Preview Students to view the population prior to generating the report. This will show you a list of students in the selection set.
Note: If needed, you can also filter the data shown in the preview. However, these options are only available for previewing purposes and will not be saved when you generate the report.
- Select Generate Report. A green success message appears in the top right to let you know the report is being generated and a second green message will appear once the file is generated successfully.
- Download the report to your device.
- In the File Manager, navigate to Exports > Reporting > Standard Reports.
- Select the report you want to download.
Tip: To download multiple documents, you can multi-select files by using your keyboard. If you wish to select multiple files that are listed next to one another, press and hold shift and select the first and last file from the list. If you wish to select multiple files not listed beside one another, press and hold Ctrl and select your desired files.
- Select the Download icon.
Note: Once you've selected to download the file, it can be located on your device in the Downloads folder, or another file location depending on your browser settings.
