Exporting Private Loan Files
Caution: The existing CommonLine Network file layout for private loans accommodates a value of up to $99,999.00 for Cost of Attendance, Other Financial Assistance Amount, Certified Amount (Award Amount), and Disbursement Amount fields. If the value of any of these fields is greater than $99,999.00, PowerFAIDS will report the value as $99,999.00 in the file. You will need to follow up with the service provider or lender to whom you are sending the file to have them update the values in their system.
To export private loan files, complete the following steps:
Set additional parameters for the export.

Indicate the Processing Type: Guarantee Only or Guarantee and Print.
- Choose whether you want the disbursements held or released.
- Choose if you want to include pending awards.

Choose a recipient from the list. If you want a different recipient not on the list, be sure to manage the recipient list.

If desired, choose an additional field you want included in the export file from the Additional Data Field to Include lis

Indicate if you want to create an application send file.
- Select Next.
Optionally, run the process in simulation mode before sending the file.
Tip: One of the benefits of running the process in simulation first is you can review any records that fail to pass and make updates prior to running the process in real mode.
- Set Run in Simulation Mode to Yes.
- Select Simulate.
- A separate message is displayed once the process has finished, and the screen becomes clear showing the results report. The results report is also available to review from the main screen (see Private Loans Results Reports for information on reviewing the results). If the option was selected to generate a file, it will be available in File Manager.

Select Cancel to exit the process, select Previous to move back and update parameters, or continue to the next step to run the process in real mode.
Export your private loans file.
- Before exporting, take note of the file name and destination displayed, then select Export.
- The Private Loans Export window is closed, and a message is displayed in the upper right portion of the page indicating that the process has started. A separate message is displayed regardless of where you are in the system once the process has finished. Once this message is displayed, the results report is available to review. See Private Loans Results Reports for information on reviewing the results. If generated, a file is available in the File Manager.
Download the private loans export file (if created).
- In the Import/Export module, select File Manager from the left navigation menu.
- Using the file manager, navigate to the Exports > Private Loans.
- Select the file created in the Private Loans Export process followed by the Download icon.
- The file will be downloaded to your computer. If needed by another office, you will need to move the file to the appropriate location.
