Generating a Communication from a Template
To generate an email to a student using an existing template, complete the following steps:
- Open the communication editor and specify the details of the communication.
- From the New menu in the upper right, select Generate from Template to open the communication editor.
- Select the academic year the communication applies to. This field determines which academic year to retrieve data points from for any student data blocks or field alias values included in the communication template.
- Select the communication type from the Type list.
- Select the communication template from the Template list.
- Choose the delivery method. Select the generate PDF option if the communication will be printed. If you select to generate a PDF only, you will skip the remaining steps in this section.
- Select the sender email address from the From list. Your individual email address will be available to select only if your user account has been configured to allow outgoing email.
- Select the recipient email address(es) from the To list. This is a multi-select field; depending on what data is available for the student, the following options will be displayed:
- Student Email Address 1, from the Student Profile
- Student Email Address 2, from the Student Profile
- ISIR Student Email Address, from the ISIR Student Data
- ISIR Parent Email Address, from the ISIR Parent Data
- Enter the subject line for the email. The subject may already be prepopulated if a default subject was specified when the communication template was created. This default text can be edited.
- Optionally select an attachment. You can upload files directly or select any that have been previously uploaded into the File Manager. For more information, see Uploading a File.
- Send the communication
Select Send. A success message is displayed in the upper right portion of the page letting you know the communication has been sent.
Note: If you chose to generate a PDF only, the communication can be printed using the PDF link in the communication log once it has been generated. For more information, see Viewing or Resending a Communication.
